Databases: organised information — Technology, 7–10 years

A database stores many pieces of information in an organised way, so a computer can find, sort or change them quickly. It is more useful than one enormous, untidy list.

Information with a place

A database is like a carefully arranged collection: each item has fields, such as name, date or number, and each group of fields makes a record. Because the pieces have places, a computer can work with thousands of records without reading every word from the beginning.

Why lists needed organising

A paper list works for ten books, but searching a million library records by hand would take far too long. Databases were made to store growing amounts of information and answer questions such as “Which books are about space?” without checking every record one by one.

Finding books about animals

A library record has title, author and subject. Ana asks for subject = “animals”. The database checks that field in each record, keeps the matching ones, and shows three titles. It does not need to compare Ana’s question with every sentence inside every book.

A missing match is not always missing data

A search for “cat” may miss a record labelled “kitten”. That feels wrong because both words point to a similar animal, but a simple database search usually compares the stored words exactly. Better labels or a smarter search are needed to connect related words.

Quiet work behind services

Libraries use databases for books, shops use them for products, and clinics use them for appointments. A school might store names, classes and borrowed tablets. People still decide what information to collect and how to label it; the database only helps organise and find it.
